Dear Rotarians,
We had an excellent meeting Board meeting last week, under the leadership of our fearless President LaDonna McDonald and our Treasurer Brandt Stickel.
Persons present included LaDonna, Brandt, Gary, Toby, Gary, John, Donna, and Jeff, a total of 8.
We discussed the emerging deficits in our budgets on both the Administration and Activities Accounts and the decrease in our Activities Account balance which has occurred over the last several years. We identified places in both the Activities and the Admin budget where we could limit our expenses and last but far from least we discussed possible ways to generate funds the rest of this year and next.
Underlying our financial difficulties is the limited number of persons we have in the club and attending meetings. With a normal attendance of only 10-12 persons we have not been able to cover the cost of meetings. If our meetings were larger, we could do much better.
The Board decided to do the following:
1) Stop the draw down of our activities account this year if possible, and begin to replenish it asap.
2) Limit expenses on both admin and activities accounts to those that are absolutely necessary.
3) Discontinue serving lunches, except on special occasions.
4) Generate more revenues for admin expenses, by increasing the meeting fee to $10 per meeting in place of the present $5 per meeting.
5) Since Gary's free time is limited, he will take PETS this year online.
6) To improve our revenues, consider sponsoring "Dine Out" events pioneered by Leona for other organizations but now discontinued in which we would mobilize meetings in various restaurants for a share of the gross.
7) Aim for a "Bingo Bash" as a third major fund raiser in October next year.
8) Budget more realistically next year. Amongst others, develop a limited expense budget based upon generating only "assured revenues".
Those in charge of projects in various categories--Disaster Relief, Community Service, Youth, International Service, Club Service and other Admin expenses, will please review their planned expenditures and let LaDonna and Brandt know where these can be cut back.
LaDonna will talk with Hill House, which will reopen in May, with the aim that we might be able to hold our meetings there.
On Thursday we will have a presentation by the Mendocino Film Festival which is preparing for the 40th anniversary, of that iconic event, and the impact it has on our community. Lets get as many of us as possible in this meeting, and bring a friend to learn what one can do to enjoy and help out with the event.
