[Rotary] Subject: Rotary Board Meeting Notes

Hi Rotarians,
Our meeting today was attended by 7 persons, including 4 Board members, 1 non-Board member and 1 potential member. Toby led the way, also in attendance were Jeff, Margaret, Brandt, Mike Garratt, and Trevor Kuchar, the guest.
Although we did not have a quorum,  we did have all four officers (the President, President-elect, Secretary and Treasurer) and as such the meeting was an ideal size, with lots of useful discussion, some decisions taken, others deferred until we can put together an quorum (which is 5).
We generally folllowed the President's agenda, circulated earlier.
Financials
Brandt presented the financials, which are attached. We have $42,357 in cash in the bank, including $4,320 in current period earnings. 
We have actual administrative revenues of $2,546 versus $2,606,  a small net deficit, both still far below budget. 
The expected net loss on administration should be about $7,320 on the year. 
Members need to make their ANNUAL DUES PAYMENTS ($240 for a full year, $120 for a half year) NOW.
The Fourth of July netted $2,223, a great outcome. 
The Golf Tournament costs are not yet in, but it looks like it will raise a little less in revenues than last year. We budgeted a net of $8,000 which may decrease moderately.
We have about 10 dinner raffle tickets still to be sold. Those of our members who have tickets to sell, or who could sell more, please let Leona know. Lets get this done for the drawing which could be on November 15. We budgeted a net of $13,000 which appears to be on target. 
The John Porter letter is being put together by Donna and Matt. We budgeted a net of $10,000.
The statements provided show we have committed $7,294 for activity expenses, including $1,000 for Maui Fire Disaster Relief, $1,294 for Youth and $5,000 for International. I believe we also donated funding to the Art Center, not shown in the statements.
Our budget for avenues of service is $22,000. If we do not overspend on other areas, we have every prospect of accomplishing our avenue of service objectives and breaking even on the year. 
Old Business
Foundation 
Toby reported on the Foundation Conference event in Ukiah, which he had attended, and found both educational and a great way to meet other Rotarians while learning more about the club.
Membership
We received an information sheet from Trevor Kuchar who will enter the membership protocol. Thank you, Trevor!!
We have not received an information sheet from Matt Davis. Toby will follow up.
Avenues of Service and Other Activities
Youth Service
Toby reported that Donna had observed a meeting of the Interact Club yesterday, and they had decided on three projects: a blood drive, a canned food drive, and pumpkin pies. Donna told them about the 50/50 award from the golf tournament.
International Service
Jeff reported that we have sent funds to both Fiji and Vanuatu, and our Rural Health project in Fiji is underway. Northern Vanuatu had been hit hard by cyclone Lola and we had not heard from Rufino. Matt and Jeff were following up to ensure the $1,000 transfer we had provided had been received. Jeff would tell Santo Rotary that if cyclone relief had higher priority than our proposed Paireve School water supply project would would not object.
Community Service
We will if club members agree undertake a warm weather clothing drive again as we have in earlier years, with a target of delivering clothes to Hospitality House by December 14. Jeff will liase with Hospitality House to ensure they would appreciate such help, and with the Children's Fund to see what they are doing. Margaret will update last year's advert which we could put on bulletin boards around town and in other media. She volunteered her office to be used to collect donations.  
We talked about other possible service donations including a Christmas in July to help seniors confined to their homes, proposed by Trevor. 
New Activities
We will, if the membership approves, have a Rabbie Burns social night on January 25, a Thursday. As it will be the fourth Thursday of the month it could replace a regular meeting. Margaret and Jeff will search for venues and music. 
We talked in a very preliminary way about a possible Headlands walk, marathon or triathlon, to be done in March or April, to be decided not later than December if at all possible. 
We have always celebrated Easter in the Park, which we might do again this year, also to be decided. 
Margaret had gotten a quote for catering lunch, $40 a person, too high.
Next  Meetings
Will be on November 9 and 30. There will not be a meeting on November 23, Thanksgiving.
