[Rotary] Lunches-important PLEASE READ

Hello fellow Rotarians,

I have been planning the lunches with Margaret and Persephone in our 
deli.  It is very hard to do when we do not have a headcount by noon the 
day before.  The people who make your lunch are gone by 2pm and need 
prep time for the lunches.  Last week we planned for 25 as a base 
number, there were 31 to attend that RSVP'd but  I believe 23 attended.  
We increased the amount of food to accomodate the extra 6, therefore the 
charge to the club was greater.  Broken down in numbers if we have 25 
people attend we have $450 to work with for the TOTAL cost of the 
lunch.  Of that $450, $100 goes to the rental of the hall, $75 goes to 
Marie for the set up and break down, Marie spends roughly $50 a week on 
sodas, condiments etc... that leaves $225 for the actual lunch.  If we 
plan on 31 people we have to charge more for the food costing the club 
money.  Tomorrow we are planning on 31 people and the lunch total is 
coming to $300.  Please help us keep the costs to the club to a 
minimum.  Please RSVP by noon the day before if you cannot attend.  From 
now on we will plan on a base of 31 people and adjust accordingly after 
12 on Wednesdays.  Also if there is a special event, i.e. interact 
students or spouses lunch a weeks notice will help us plan.  As always
