serif; font-size: 15px"><p><span style="font-size:16px"><span style="font-family:Arial,Helvetica,sans-serif"><strong>The U.S. Rotary Club & District Liability Insurance Program ("U.S. Club Program") provides all U.S. Rotary clubs and districts and Rotaract clubs with commercial general liability insurance and directors & officers/employment practices liability insurance, subject to policy terms and conditions.</strong><br>

As summer is around the corner and Rotary clubs are planning events, Risk Management would like to highlight a few items. Please send this email to anyone in your Rotary club handling events or insurance.<br>
<br>
<strong>Liquor</strong>: The U.S. Club Program provides liquor liability insurance for bodily injury or property damage to a third party arising out of selling or serving alcoholic beverages. If a liquor license is required, <u>your Rotary club must obtain the liquor license before your event in order to maintain liquor liability insurance</u>. Apply early with your local government, as this allows time for review, as well as the possibility that your application could require revision.<br>

<strong>Vendors</strong>: If your Rotary club hires a vendor for an event, make sure there is a written contract between your Rotary club and the vendor explaining the duties and responsibilities of each party. The written contract should transfer responsibility for bodily injury or property damage to the party best positioned to prevent the loss (e.g., a caterer should be held responsible for bodily injury or property damage arising out of its equipment or the food it prepared). Also, the written contract should include a provision requiring the vendor to maintain commercial general liability insurance and provide a certificate of insurance to your Rotary club. Before signing the written contract, please review it thoroughly and remember the terms and conditions are negotiable.<br>
<br>
<strong>Volunteers</strong>: If your Rotary club engages volunteers for events, make sure that your Rotary club provides them adequate training and appropriate equipment (e.g., reflective vests if picking up litter along a busy road or highway). Members and volunteers are expected to carry their own health insurance, as the U.S. Club Program does not provide accident insurance for persons injured while working on behalf of your Rotary club. A licensed insurance professional can assist with purchasing accident insurance.<br>
<br>
<strong>Waiver and Release Agreement</strong>: When registering participants or volunteers for events such as car shows, parades, 5K's, and other events, require that they sign a waiver and release agreement, commonly referred to as a waiver. Participation should be contingent upon signing your waiver, as this helps protect your Rotary club if a participant or volunteer is injured or their personal property is damaged. Your waiver should inform participants and volunteers of the risks associated with your event, and should release from liability your Rotary club, your Rotary club foundation, and any other party involved in organizing it. A legal professional can assist with drafting your waiver and a sample waiver is available for reference on the U.S. Rotary Insurance Portal.<br>
